Thank you for your interest in volunteering on our event day. Below is a brief description of what to expect for your team. If you would like to sign up for a team, simply complete the form at the bottom of the page and we will contact you with more information before the event day.
Thank you for being a part of Secret Families Christmas Charity of Jay County. Don’t forget to spread the word about Secret Families and most importantly – HAVE FUN!
Shopping Teams
- Meet at Portland Walmart at 6:30 a.m.
- Sign in and pick up an information sheet at the front table.
- Receive an information sheet for the family you will be shopping for.
- Stay within the per person budget!!
- If you happen to exceed the budget, you can choose to pay the overage if you wish.
- Shop for sale items, sales racks and specials to get more bang for your buck!
- Try to complete the shopping for each family in 30 minutes. This will keep us moving and help to get presents to the wrapping center on time.
- Pick a meeting spot for your team to meet at a designated time. Gather as a team and go through the checkout together.
- Team Captain will report back to the table to get another family to shop for while the rest of the team gets the carts ready to go again!
- You have about 30 minutes per family. Keep On Schedule!
- HAVE FUN!
We understand that we don’t know these families or their sizes. Typos happen and parents don’t always know the sizes. Just use your best judgement!
We welcome everyone to sign up regardless of how many are on your team. However, teams of 5 – 7 people are recommended. Team Captains will be contacted via e-mail prior to the day of the event.
Wrapping Teams
- Meet at Jay County Fairgrounds – Bubp Building at 8:00 a.m. Check in with Kadie Hall.
- Each family member has their own bag of presents. Check your list to be sure you have the correct number of bags for the family you are wrapping.
- Your wrapping team should wrap one family member’s presents at a time. Return all the wrapped presents to its appropriate bag. Then move on to the next family member’s presents.
- After all of the presents are wrapped, notify Kadie Hall or her helpers to pick up the bags. Be sure to keep the families bags grouped together to prevent losing any of them.
- There are several presents in a bag for each family member and several families. So please try to complete a family within 45 minutes to ensure the deliveries stay on schedule.
- HAVE FUN!

Delivery Teams
The most fulfilling part of the day – Meeting our families.
- There are specified Delivery Captains that will lead the volunteers on deliveries.
- Delivery Teams are to arrive at the Jay County Fairgrounds – Bubp Building and line up in the designated area. Please remain in your vehicle.
- When the next Delivery Captain is ready to leave. You will follow their vehicle.
- There will be several bags of presents for each family being served. The Delivery Captain may ask you to help transport some of the bags in your vehicle.
- It is important to keep all of the family bags together to prevent losing them or delivery them to the wrong family.
- Each delivery run usually delivers to three homes around Jay County. All attempt is made to have the three deliveries in the same town. However, they could be anywhere in Jay County.
- When arriving at the home, the Delivery Captain will approach the home first and then signal when the volunteers can bring the bags to the home.
- No pictures are to be taken on the properties or in their homes. Please respect their privacy.
- Enjoy spending a few minutes with the family being served and letting them know that their community cares. Wish them Merry Christmas and share a prayer with the family.

Ribbon Teams
Ribbons are placed at the homes of our families prior to our event day. These ribbons assist our delivery teams in finding the correct locations.
Ribbon teams have 3 people.
We are in need of teams to travel to each location at your convenience from Saturday, November 30th to Monday December 1st. You will be given a list of homes and the families will be notified that you will be coming. However, we will not be interacting with the families on this visit, simply hanging the ribbons and noting the location. Conny Knight will contact you with more details if you are interested.
